4. Legal Basis for Processing (GDPR Article 6)

For users in the European Economic Area (EEA), United Kingdom, and Switzerland, we process personal data under the following legal bases:

  • Contract Performance (Art. 6(1)(b)): Processing necessary to fulfill our contract with you, including account creation, pet registration, payment processing, and service delivery.
  • Legitimate Interests (Art. 6(1)(f)): Processing necessary for our legitimate interests, including fraud prevention, security, service improvement, and platform integrity, where these interests are not overridden by your rights.

  • Vital Interests (Art. 6(1)(d)): In exceptional cases, processing necessary to protect the vital interests of an animal (e.g., emergency contact for a lost or injured pet).

5. Information Sharing & Disclosure

We do not sell your personal information. We share your information only in the following circumstances:

  • Public Microchip Search: When a microchip number is searched, we display the owner's contact information based on the owner's privacy settings (see Section 6). By default, only the pet's name and a masked contact method are shown.
  • Linked Professionals: If you link your pet's profile to a veterinarian, shelter, or breeder, those professionals can view your pet's information and, in the case of veterinarians, medical records.
  • NAAR Subscribers: Authorized professional accounts with an active NAAR subscription can access NAAR records. Pet owner personal information is not shared through NAAR.
  • Service Providers: We share data with third-party service providers who assist in operating the Service, including Supabase (database and authentication), Vercel (hosting), Stripe (payments), and Hostinger (email). These providers are bound by data processing agreements and are prohibited from using your data for their own purposes.
  • Legal Requirements: We may disclose information when required by law, subpoena, court order, or government request, or when we believe in good faith that disclosure is necessary to protect our rights, prevent fraud, or ensure user safety.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity. We will notify you of any such transfer and any choices you may have regarding your data.

6. Owner Privacy Controls

IPR gives pet owners granular control over what information is displayed when their microchip is searched. Owners can toggle the visibility of:

  • Full Name: Show or hide your full name in search results.
  • Phone Number: Show or hide your phone number in search results.
  • Email Address: Show or hide your email address in search results.

Even when contact information is hidden, users who find a lost pet can use the IPR platform to send a notification to the registered owner without seeing the owner's actual contact details. These privacy settings can be changed at any time from your account dashboard.

7. International Data Transfers

IPR operates globally and may transfer your personal data to countries outside your country of residence, including the United States. When we transfer data from the EEA, UK, or Switzerland to countries that have not received an adequacy decision from the European Commission, we implement appropriate safeguards, including:

  • Data processing agreements with all sub-processors that include equivalent protections.
  • Supplementary technical and organizational measures, including encryption in transit and at rest.

You may request a copy of the safeguards we use for international data transfers by contacting us at privacy@internationalpetregistry.net.

8. Data Retention

We retain your personal data for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required or permitted by law:

  • Account Data: Retained for the duration of your account plus 2 years after account closure (to facilitate pet recovery if needed).
  • Pet Registration Data: Retained for the lifetime of the pet or as long as the registration is active. Microchip registrations are intended to be permanent records.
  • Medical Records: Retained for 7 years after the last entry, or longer as required by applicable veterinary regulations.
  • Payment Records: Retained for 7 years to comply with tax and financial reporting requirements.
  • NAAR Records: Retained indefinitely, as the registry is designed as a permanent record of animal abuse.
  • Usage Data: Aggregated usage data is retained indefinitely. Identifiable usage data is retained for 26 months.
